Well, not all payroll companies are created equal. Historically, outsourcing has been limited to a small number of national and global providers. Often charities made the cautious decision to go with these large players because they were nationally recognised. After all, how far could you go wrong with the largest providers?

With increasing financial pressure on charities and often impersonal and expensive service from these big companies, smaller, more specialised payroll providers such as Dataplan for Charities, have come into their own.

We have looked at what charities want and the frustrations they have had with other providers and built a simple, client focused service based on a few core principles.

why we are different

Staff experience and expertise

With over 130 staff, Dataplan have a wide mix of talent to rely on. Our team consists of many different backgrounds from graduates beginning their payroll career, up to those with approaching 40 years in the business. We also have our own in-house marketing and software development teams to handle communications and management of our systems, keeping everything efficient and in-house

With this many experts to draw on, we have the scope to match your dedicated contacts and account managers to those we feel there will be a natural affinity with. We know from our 50 plus years’ experience, delivering a long term payroll service is not just about technical expertise, it is about people dealing with people.

“We are very satisfied with the service we receive from Dataplan and their teams of staff with expert knowledge on all areas of payroll and pensions. Our payrolls are managed exceptionally well, ensuring compliance with legislation. Thank you for the support, advice and guidance your staff have provided us over these years.”

Beyond payroll expertise

In addition to our payroll experts we also have a Compliance and Legislation team, headed up by Paul Chappell, a former Inspector of Taxes for HMRC. The team not only ensures our payroll professionals are kept up to speed with the latest legislation and compliance regulations, they also support clients with any complex PAYE/NI matters and interactions with HMRC.

Transparent pricing

We pride ourselves on our open and honest approach. We are upfront about our pricing and what is included in that price. So that means no hidden extras or sudden price hikes. The price we quote is the price we pay, we can’t say fairer than that.

Personal Service

You will be given a dedicated contact and team who you can talk to directly, supported by our in-house experts which include pensions, HR and tax. No faceless administrators, all our payroll processors, our aim is to become an extension of your organisations, which means getting to know your payroll and your team.

Bespoke reporting

Just as every organisation is different, we don’t believe in a one size fits all approach. So we offer bespoke management reports set up to give you the information you need, free of charge.

Innovation

The two pillars of our business are people and technology. Together they create the type of innovation that improves efficiency and allows us to keep pace with the ever-changing payroll and pension sector.

Our online portal, ePaysafe provides a secure online system  for submitting, checking and archiving their payroll. It also gives immediate 24/7 access to your payroll reports and payslips.

For employees, we also offer ePayslips (electronic payslips) which is ideal for remote workers, reduces paper wastage and saves you on postage costs. For your employees, it gives them easy access to their current and previous payslip information.

Information Security

Payroll data is by its very nature, sensitive and personal. When you outsource your payroll you need to feel confident that your employee data is going to protected at all stages of the process. As a payroll provider, we have developed water-tight policies and procedures that include all legal, physical and logical controls that are an essential part of information risk management.

  • ISO27001 Certification – our accreditation to this standard demonstrates that Dataplan is following information security best practices.
  • GDPR – we have an internal GDPR compliance framework to ensure that, as a service provider, we meet all our GDPR compliance obligations.
  • Business Continuity – our UK-based backup system is second to none and in the event of a disaster such as fire, flood or power failure we can be back up and running within three hours.

Customer Care

Our business grows and succeeds through referrals and customer retention. We want our customers to shout about Dataplan and the service we offer. We do this by excelling at customer care.

Exceptional guarantees

Guarantees are rare in the professional services world, but we are so committed to customer care that our Customer Charter offers five separate guarantees.
