How does payroll outsourcing work?

With payroll being such a highly sensitive area needing to be accurate, on-time, every time, the thought of outsourcing it to another company to handle can be daunting. But how does payroll outsourcing work?

If you are looking to outsource for the first time you will have many concerns including:

  • How much will it cost?
  • How will the transfer work in good time?
  • What happens about paying staff?
  • What happens when our staff have queries?
  • How will they deal with your organisation's payroll idiosyncrasies?
  • What happens if there is a problem?

No two organisations are the same and as such it would be wrong of us to assume that we can simply dictate our systems on to you. In fact, flexibility is one of the key parts of our service and helped us win a series of national payroll award in recent years.

Our outsourcing process is contained in our comprehensive 19 page guide but, in brief, our clients follow the following process

Step 1

Our first step with any new payroll client is to appoint a project manager. It is their role to find out about your organisation, what makes you tick –

  • how you handle your employees
  • are you paying by BACS?
  • what management information you would need
  • what are your key concerns?
  • how sophisticated your existing systems are

Step 2

Once we have discussed your needs we agree action plan with you and make a start. Your project manager will hand-hold you through all of the setting up of the payroll including extracting the employee information we need.

When we are ready to process your first payroll run the project manager would process your payroll early to ensure that we all have plenty of time to check the payroll in detail. We can even be there on the first payday to handle any employee queries.

Step 3

A debrief follows where we can identify and make any changes needed to the process.This process is repeated until you are comfortable that the payroll is running exactly how you want it to.

Step 4

At this point you will be passed to our payroll processing team where you will be given your payroll buddies. We operate a buddy system so that you will always have two payroll contacts that will look after you, making sure that we always have people on hand with up to date knowledge about you and your payroll.

Step 5

Our customer care program, regular contact and reviews ensure that you will continue to receive a service that meets and exceeds your needs. And of course you always have our payroll guarantees to give you that added assurance.
